How to automate Google Forms and Google Sheets

Google Forms and Google Sheets make a useful combination for collecting information and processing it.

Google Forms and Google Sheets make a useful combination for collecting
information and processing it.

A form provides the input interface. A spreadsheet stores the responses.
Automation connects the two.

The basic workflow

A simple process looks like this:

*User submits Form → Response enters Sheet → Automation processes
response → Staff receive notification
*

This can be expanded into a much more capable workflow.

Example: service request

Suppose an organisation receives support requests.

The form collects:

  • Requester's name.
  • Department.
  • Request type.
  • Description.
  • Priority.
  • Attachment.

After submission, automation could:

1. Generate a request ID.
2. Record the submission date and time.
3. Assign the request.
4. Send an acknowledgement.
5. Notify the responsible staff member.
6. Create a Drive folder.
7. Track the request in a dashboard.

The user still sees a simple form.

The organisation gets a structured workflow.

Use validation before automation

Good forms prevent bad data.

Use required fields, dropdowns, appropriate response types and clear
instructions.

For example, if a request type must come from a fixed list, use a
dropdown rather than allowing free text.

Better input produces better automation.

Avoid using the response sheet as a user interface

The raw Form Responses sheet is primarily a data source.

Do not rely on staff manually editing it for every operational task.

Instead, use separate sheets or an application layer for processing and
management.

Add status tracking

A useful operational workflow often includes fields such as:

  • Request ID.
  • Status.
  • Assigned To.
  • Priority.
  • Date Received.
  • Due Date.
  • Completed Date.
  • Notes.

This turns a simple form into the beginning of a ticketing or
request-management system.

Automate notifications

Automation can send different notifications based on status.

For example:

New request → acknowledgement

Assigned → staff notification

Completed → requester notification

Overdue → manager reminder

The bottom line

Google Forms and Google Sheets are much more powerful when they are
treated as components of a workflow rather than two separate tools.

With Google Apps Script, a simple form can become the front end of a
useful internal process.

Trygg Montis can help turn Google Forms and Sheets into structured,
automated workflows without immediately requiring a large software
system.
